Health Information for Under-18 Participants
Where a person under the age of 18 takes part in activities at Dublin Climbing Centre, we ask a parent or guardian to provide relevant medical information about the child such as allergies, medical conditions (for example epilepsy), injuries, or additional needs. We collect this information solely to protect the safety of the child during their participation, so that our instructors can take any necessary precautions.
What we collect: medical conditions, allergies, injuries, and additional needs relevant to safe participation, provided by a parent or guardian.
Why we collect it (lawful basis): This is special category (health) data under Article 9 of the GDPR. We process it on the basis of the explicit consent of the parent or guardian, given at the time the waiver is completed. We also rely, where relevant, on the protection of the vital interests of the child in the event of a medical emergency.
How it is collected and stored: This information is collected through our digital waiver provider, Smartwaiver (operated by Togetherwork Operations, LLC). It is stored within the Smartwaiver platform and in secure physical records at our premises and is accessible only to staff who need it to ensure the child’s safety.
International transfer: Smartwaiver is based in the United States. Where this data is transferred outside the European Economic Area, the transfer is protected by Standard Contractual Clauses approved by the European Commission, together with additional safeguards.
How long we keep it: We retain this information for as long as the child remains an active participant or for 2 years, after which it is securely deleted/destroyed.
Your rights: A parent or guardian may withdraw consent, or request access to, correction of, or deletion of this information at any time by contacting us using the details in this privacy statement. Withdrawing consent will not affect the lawfulness of processing carried out before withdrawal.
